An AI Executive Assistant in your notes

Introduction

One of our Reflect users recently shared in our Discord channel one of the best use cases for our AI features that I’ve yet seen, especially if you are a manager or someone who has a lot of calls or meetings. It’s called the Executive Assistant. This feature is going to take the meeting notes—comprising a couple of written bullet points jotted down during a call and an audio reflection recorded after the call—and distill them into four valuable categories:

  1. Key Takeaways of what happened in the meeting.
  2. Action Items that you need to complete.
  3. Action Items others need to complete.
  4. Next Steps.

Here is how you can leverage this feature.

Using the Executive Assistant

I had a real meeting earlier today and recorded a memo for it. Here is a step-by-step guide on how I used the Executive Assistant:

  1. Selecting the Text: I started by selecting all of the meeting notes I had jotted down.

  2. Opening the AI Assistant: I then opened the AI assistant. It displayed a custom prompt called Executive Assistant.

  3. Running the Prompt: Next, I ran the prompt, which sorted the information into four categories:

    • Key Meeting Takeaways: Bullet points summarizing key points from the meeting.
    • My Action Items: Tasks that I need to complete.
    • Other Action Items: Tasks that others need to complete.
    • Next Steps: The subsequent actions to follow through.

As the AI Assistant categorizes the information, it automatically formats it neatly into lists. This results in a clean, easily readable summary.

Creating Your Custom Prompt

To create a custom prompt, follow these simple steps:

  1. Clone a System Prompt: Select anything and pull up the AI assistant. Choose any of the system prompts.
  2. Clone and Rename: Click on the drop-down menu, clone the prompt, and give it a new name such as "Executive Assistant".
  3. Paste the Prompt: Copy and paste the detailed prompt (shared in the description of the original video) into the text box.

This tool significantly enhances your meeting productivity, ensuring that all key details are maintained and easily accessible.
