To give you a bit of background, your AI email assistant will automatically respond to any support emails you receive in your support inbox. You can set it up to either automatically respond to your emails or manually forward emails so you can choose which ones your assistant will handle. It essentially serves as a first line of response, answering most generic emails and acknowledging that the user's request has been seen. If the user wishes to speak to a human, they only need to reply to the AI-generated email, and you'll be looped into the chain.

Getting Started

  1. Initial Setup

    • Navigate to your dashboard.
    • Go to Chatbox Setup > Email Assistant.
    • You may see an introductory carousel explaining how the product works.
  2. Testing Your Email Assistant

    • Send an example email using the provided template. You don't need to make any changes to it; just click "Send."
    • You should receive an AI-generated reply within a few moments.
    • Alternatively, you can forward an existing email to the provided address.
  3. Verifying Ownership

    • Click on Ready to set up.
    • Add and verify your support email address by entering it and sending a verification email.
    • Go to your inbox and confirm the sender signature via the email from Postmark support.
    • Head back to your dashboard and click I’ve completed the verification.
  4. Choosing Your Mode

    • Manual Assist: Allows you to forward emails to the AI assistant manually.
    • Autopilot: Automatically responds to every email.
    • Start with Manual Assist for more control over which emails get answered by the AI.

Manual Assist Setup

  1. Forward A Test Email

    • Click to send the test email and wait for it to be received.
  2. Invite Your Team

    • Send instructions to your team on how to use the manual assist mode.
    • When forwarding emails to the AI assistant, CC your team so they can see the AI responses and add additional information if needed.
  3. Organizing Your Inbox

    • You can set up mail rules to auto-archive these emails or manually review the first few to ensure the responses are accurate.

Autopilot Mode Setup

  1. Switching to Autopilot

    • Go back to Assistant Mode.
    • Choose Change Mode and select Autopilot.
  2. Setting Up Forwarding in Gmail/Outlook

    • Copy the forwarding address provided.
    • Go to your email settings in Gmail/Outlook.
    • Add the forwarding address and verify it.
  3. Testing Autopilot

    • Send a test email to your inbox, which should be forwarded to the AI assistant and trigger an automatic response.
    • Verify that the forwarding rule works correctly.
  4. Team Instructions

    • Inform your team that the AI email assistant is now operational and will handle generic email responses. Only the emails that the AI can't resolve will need human intervention.
