Introduction

Hello everyone, Tom from Blue Root here to showcase our latest feature: Note Templates for Zoho CRM. I believe you’re going to find it incredibly beneficial, so let’s dive right in!

What is Note Templates?

So, this feature comes in the form of an extension, which, when installed, adds a new area called "Note Templates" to your CRM. This basically acts as another module. Once you load it, it may seem similar to any other module, but the real standout feature is the "Manage Note Templates" button. Clicking this button takes you to a more visually appealing list of your templates.

How to Use Note Templates

Currently, I have five templates set up. The interface allows you to search through them easily. You can create new templates, click on existing ones to see their details, and manage them intuitively.

Each template consists of a name, a subject for the note, and the content itself. For example, let's create a template titled "Tom's Video Note Template." The subject may be something like "Call with," followed by using a number sign to merge fields from the contact module. This could result in a subject like "Call with Tom."

In terms of content, you can specify various details you'd like to include in the note, such as a client's favorite color or movie. The beauty of this feature is that you can pull in specific data about clients right into your templates, saving you from having to scroll around to look for information.

After crafting our template, simply hit save, and it will update accordingly.

Application in Real Scenarios

Next, let’s see this in action. I'm going to switch to an actual contact, Ned Flanders. Here, you’ll notice the standard notes area; however, instead of using that, I want to utilize our note template feature. There’s a button in the top right corner labeled "No Template." Clicking that reveals all the templates I previously created.

Once I select the template, it populates with relevant information, such as "Call with Ned" as the title. While it autofills with available data, I can customize it further. Let’s say Ned tells me his favorite color is green, his favorite movie is "The Departed," and his address is "123 Main Street."

After completing the note, I can still add colleagues as tags. For instance, tagging Homer Simpson works the same as it does in the normal notes area. Once I save the note, it stays organized and accessible.
