Getting Started
If you are joining for the first time, you should have received an invite email from the Mesh AI system. Clicking the link in that email allows you to join your team and create an account. Ensure you accept the team invitation to be included.
For general logins, we recommend bookmarking your team calendar or visiting www.meshai.io. Click the "Sign In" button in the top-right corner to access your account.
Personal Calendar
Upon logging in, you will see your personal calendar displaying the shifts assigned to you within your teams. If you have accepted your team invitation successfully, that information will appear in the left-hand bar of your calendar.
You can scroll to view shifts for upcoming weeks and click on them for details. You can also switch your calendar view using the toggle option between timeline view, week view, or regular calendar view.
Additionally, you can sync your Mesh AI schedule with existing calendars like Google Calendar, Outlook, or iOS calendars by clicking the subscribe button.
Team and Organizational Shifts
The left bar displays your organization and teams. By clicking on your organization, you can get an overview of shifts across all affiliated teams. This feature helps track where your co-workers are during any given day.
To view the schedules for specific teams you are part of, return to your calendar and click on the team name. You can apply various filters based on specific members or job titles and save those filters for future use.
If you need to print or export your schedule, click the export option. You can choose between PDF or Excel formats.
Making Requests
To make shift requests, return to your schedule. Note that requests must be submitted before the auto-scheduler runs, and requests made after schedules are published won’t alter assignments.
To submit a request, select the date range. For example, let's choose the third week in February. Input your request dates, specify the team (if necessary), choose the request type, and add a note if desired. Submit your request, which will display as "pending approval" until validated by an administrator.
Once approved, the request is logged into your schedule and will be included in future scheduling.
Swapping Shifts
Shifts can be swapped via the “deal” feature within your team's bazaar, accessible in your schedule or team calendar. To initiate a deal, select the shift and click “Make Deal.” You can offer it up to anyone on the team or designate it for a specific member.
The recommendation engine indicates how suitable teammate choices are for the shift based on customizable icons.
Once you have created a deal, it will appear in your bazaar under “My Deals.” You can cancel a deal before it's picked up if necessary. You can also approve deals offered to you by selecting shifts within open deals or participating in the bazaar.
Important: Some teams may require admin approval for deals, which could delay the updates on your schedule.
Mobile App Overview
For those using the mobile app, available on iOS and Android, the experience is similar to the web platform. After installing, log in with the same credentials. You will see a condensed version of your schedule upon login.
You can navigate between teams, view the organizational overview, create requests, and manage deals in the same manner as the web platform. Notifications and settings are also accessible within the mobile application.
User Settings and Support
Access your user settings via the dropdown next to your name. Here, you can manage notifications and other settings like weekly schedule overviews. The help center is accessible from both the web and mobile app for additional support.
