Quick Start - Document Management Link

Science & Technology

Introduction

Welcome to the Quick Start webinar on Document Management Link (DML). In this session, we will guide you through the process of configuring Document Management Link for Sage 300 Accounts Payable in less than 30 minutes. Led by Natalie and Anne, we aim to help you transition towards a paperless office, enhancing efficiency and document accessibility.

Do You Need Document Management Link?

Consider if your team members need to review various documents such as purchase orders, contracts, and invoices using Sage 300. If your organization still relies on physical documents to address inquiries from customers and vendors, Document Management Link is a solution worth considering.

Document Management Link provides seamless access to critical documents directly from your Sage 300 interface. It supports various file management systems including SharePoint and network file shares, while also offering configuration options for synchronizing with cloud services like OneDrive, Google Drive, or Dropbox. DML helps streamline the documentation process, enabling users to link and view documents related to specific transactions without the need for duplicating files.

The main focus of this webinar is on integrating Document Management Link with Sage 300 Accounts Payable. Participants will learn how to attach documents to invoices as they are entered and view all past invoices for each vendor, along with vendor contracts, enhancing transaction management.

Configuration Overview

The following steps outline the key configurations being covered:

  1. Download and Install Document Management Link: Starting by logging into the website, downloading the necessary files, and installing the module.

  2. System Activation: Activate Information Manager and check user licenses for Document Management Link.

  3. Screen Configurations: Customize the AP Invoice Entry screen (AP 2100) to display individual invoices, all vendor invoices, and vendor contracts.

  4. Document Uploading: Demonstrate the drag-and-drop functionality from a network drive or emails to associate documents with relevant transactions.

  5. Extending Configuration: Also apply configurations to the AP Vendor Activity screen (AP 1500) and the AP Vendor screen (AP 1200) for comprehensive document management.

By the end of the session, participants will have successfully linked documents to Sage 300 AP transactions and will be able to demonstrate this functionality in their systems.

DML can be configured across various Sage 300 modules, allowing users to link documents with purchase orders, GL transactions, and even customer service inquiries, significantly improving the organization's efficiency in document management.

Conclusion

Transitioning from physical documents to a digital format not only streamlines the documentation process but also enhances access and visibility for team members when handling accounts payable transactions.
