Science & Technology

Introduction

Welcome to ORCID's quick start webinar on Document Management Link (DML). In this session, Natalie and Anne guide you through configuring Document Management Link for Sage 300 Accounts Payable in just under 30 minutes.

Before diving into the setup, let's review some key points about Document Management Link.

Do You Need Document Management Link?

Consider adopting Document Management Link if:

  • Your team members need easy access to essential documents like purchase orders, contracts, and invoices while using Sage 300.
  • You still depend on physical documents to respond to customer or vendor queries.
  • You're striving for a paperless office environment.

Document Management Link, or DML, offers seamless access to vital documents from your Sage 300 screen, including third-party modules developed in the Sage 300 SDK. Key benefits include:

  • Cost-effective and easy to set up.
  • Powerful configuration options.
  • Fast ROI through reduced paper storage and enhanced digital environment.

DML allows users to link documents to specific screens and companies in Sage 300 without duplicating files. You can drag and drop documents from Windows Explorer or Outlook and configure it to work with various document management systems, such as SharePoint or network file shares. In this webinar, we specifically focus on network file shares.

Configuration Overview

Typically, the most common implementation of DML revolves around Sage 300 Accounts Payable. This involves linking documents to invoices during data entry. In our demonstration, we showcase:

  • Linking AP invoice documents to the AP Invoice Entry screen.
  • Viewing previous invoices for vendors.
  • Displaying vendor contracts linked to the vendor's AP activity.

We will complete the configuration in about 20 minutes.

Now, let's proceed with the setup as outlined in the recorded demonstration.

Detailed Configuration Steps

  1. Download and Install Document Management Link: You start by downloading Document Management Link from your website, installing it, and activating the Information Manager.

  2. Check Licenses: Within the Information Manager, verify that you have the appropriate licenses for Document Management Link users.

  3. Configure the User: Ensure the current user is set up as a DML user and select necessary configuration rows for the AP Invoice screen.

  4. Configure AP Invoice Entry: Connect the screens to display individual invoices, all vendor invoices, and vendor contracts.

  5. Test the Configuration: Check functionality by dragging documents into the configured areas and ensuring they appear appropriately.

  6. Expand Configuration to Other Screens: Configure similar setups on the AP Vendor Activity screen and the AP Vendor screen, allowing for streamlined access to documents related to transactions and vendor contracts.

The video demonstrated all configuration actions with a focus on usability and efficiency.

Conclusion

In under 30 minutes, you can facilitate the transition from physical documents to a digital system for AP transactions. DML allows you to link supporting documents to Sage AP invoice screens, providing easy access to all related invoices and contracts.

For further configurations, the same method applies across different Sage 300 modules and third-party applications, enabling comprehensive document management throughout your operations.
